DATA PROCESSING TCCs (441 - 448)

The data processing category includes expenditures for rental or purchase of computer hardware and software, and the purchase of computer supplies and services. This group of TCCs represents part of which is budgeted and accounted for under Information Technology.

Equipment Rental - (TCC 441) - should be used for the rental or lease/installment purchase of computer hardware. Can be used in either local, grant, or appropriated funds. Subject to 1099 reporting.

Software Rental - (TCC 442) - should be used for the rental of computer programs and other computer software. This rental could include support from the vendor, and periodic fees for continued support or program maintenance. Software is usually rented only for programs used on mainframe computer systems. Subject to 1099 reporting.

Data Processing Supplies - (TCC 443) - should be used for the purchase of supplies to be used with the operation of a computer system. Examples include: paper, ribbons, blank diskettes, rebuilt laser printer cartridges.

Data Processing Services - (TCC 444) - should be used for the purchase of computer services from an outside vendor or department other than the Information Technology Services. For example, purchasing internet services from an outside vendor. See TCC 447 for Computer Center Services. Subject to 1099 reporting.

Microfiche & Microfilm Service - (TCC 445) - should be used for the charges to a department for services performed either by the Information Technology Services or an outside agency for converting computer output into microform. Subject to 1099 reporting.

Computer Software Purchases - (TCC 446) - should be used for the purchase of computer programs. This TCC differs from TCC 442, above, as the University should have ownership of the software when TCC 446 is used.

Computer Center Services - (TCC 447) - should be used by departments other than the Information Technology Services (ITS) when paying for services from ITS.

Software Licenses - (TCC 448) - should be used when a computer software license is purchased. The license is purchased in order for the University to be authorized to use the software. In this case, the University does not own the software, and it should not be added to the equipment records.
