Vehicle Reservations

State Fleet recognizes that many departments require the use of motor vehicles from time to time but do not need a vehicle permanently assigned. To meet this need, a fleet of vehicles is maintained for the needs of these departments. The State Fleet's Motor Pool is operated through Facilities Management to serve the transportation needs of the University community.

Reservations are taken from 7:30 am to 4:00 pm, Monday through Friday.  Vehicles can be picked up 7:30 am to 4:00 pm, Monday through Friday at the Facilities Management Department (Thorson Maintenance Center).

To Make A Reservation

Reservations are taken from 7:30 am to 4:00 pm, Monday through Friday.

• Call the Motor Pool at (701) 231-9619, or visit our office in Thorson Maintenance Center between 7:30 am to 4:00 pm, Monday through Friday.

• Complete the appropriate reservation form(s):

  (Please complete, sign, and return forms to University Motor Pool at Thorson Maintenance Center or by FAX to (701) 231-8008 (all forms must be signed before a vehicle can be released).  Please keep a copy of the completed form for your records.)

• Have the following information available:

  • Your EMPLID

  • Your driver's license expiration date

  • Date & time of departure

  • Date & time of return

  • Destination

  • Name of Department reserving the vehicle

  • Type of vehicle needed.  While requests are subject to availability, every effort will be made to accommodate your request.

Picking Up The Vehicle

Vehicles can be picked up 7:30 am to 4:00 pm, Monday through Friday at the Facilities Management Department (Thorson Maintenance Center).

• Present your current driver's license.

Returning The Vehicle

Please refuel the vehicle (refueling station is located on the north side of Thorson Maintenance Center) and return the vehicle to the same parking lot from which you picked it up.  Complete the State Fleet Services Equipment Use form you were provided when you picked-up the vehicle.
