Frequently Asked Questions

Q: How many hours can a non-benefitted employee work per week?
A:
Per Policy 128: A timeslip/temporary employee is a person employed in a position of intermittent or limited duration not to exceed one year, a seasonal position, or in a position working less than seventeen and one-half hours per week if hired before August 1, 2003, or twenty hours per week if hired on or after August 1, 2003 or less than five months per year.

Q: What do I do if an employee turns in a time card for a previous pay period?
A:
  Fill out a Timeslip from the forms page and submit to the Human Resources/Payroll office.  The hours will be paid on the next regular pay period.  A department should never carry over the hours and enter the next pay period.

Q: What do I do if an employee turns in a leave card for a previous pay period?
A: 
Submit the leave card to the Human Resources/Payroll office.  The hours will be entered on the next regular pay period.  A department should never carry over the hours and enter the next pay period.

Q: If an hourly employee receives a pay rate change but the paperwork was late, how do I give the employee back pay for the difference in rates?
A:
  Fill out a Timeslip from the forms page and submit to the Human Resources/Payroll office.  Please note on the Timeslip that it is a pay adjustment due to the pay rate change, not a late Timeslip.  If that is not noted, it may result in the hours being paid twice.

Q: If a salaried employee receives a pay rate change but the paperwork was late, how do I give the employee back pay for the difference in rates?
A:
  The Human Resources/Payroll office will automatically calculate and add on the pay adjustment to the next regular pay period.  You do not need to submit anything.

Q: If a benefitted employee terminates employment, how do I pay out their annual and/or sick leave balances?
A: 
The Human Resources/Payroll office will automatically calculate and pay out any remaining annual and sick leave (if applicable) balances on the pay period following the employee’s last regular payday.
