Leave Information


There are a number of leave options available to employees based on individual circumstances.  Please see specific sections for detailed information.

Annual Leave


Leave accrual is earned based on the number of working hours in each pay period, therefore the leave earned each pay period will vary.   Annual leave for a calendar year is based on a years of service schedule with a maximum accrual of 24 days per year.  For a detailed list of leave accrual throughout this year, view the 2014 Leave Accrual Schedule. Maximum carryover is 240 hours each year.

Years of Service Schedule for Annual Leave

First through third year

the equivalent of 12 days per year

Fourth through seventh year

the equivalent of 15 days per year

Eighth through twelfth year

the equivalent of 18 days per year

Thirteenth through eighteenth year

the equivalent of 21 days per year

Over eighteen years

the equivalent of 24 days per year

Sick Leave


Sick Leave for a calendar year is the equivalent of 12 days per year.  Eighty hours per year may be used for dependent care, with the option to apply for an additional 10% of employee's own sick leave for dependent purposes.

Family Medical Leave (FMLA)


Family Medical Leave (FMLA) is available for eligible employees to use for qualifying reasons.  Please contact the Office of Human Resources/Payroll for further information. 

Holidays


There are 10 paid holidays each calendar year.  They are as follows:

  • New Year's Day
  • Martin Luther King, Jr.
  • President's Day
  • Good Friday
  • Memorial Day
  • Independence Day
  • Labor Day
  • Veteran's Day
  • Thanksgiving Day
  • Christmas Day

If a holiday falls on Saturday, the preceding Friday shall be observed as the holiday.  If it falls on a Sunday, then the following Monday shall be the holiday.

In addition, University offices close at noon on December 24, Christmas Eve Day, if this falls on a regular work day.  This is not considered a holiday, but rather an institutional closure.

A holiday is an eight hour day for full-time employees and a prorated amount for employees who work less than full-time.

Leave With Pay


Funeral Leave

NDSU allows employees an approved absence from work for up to 24 working hours (prorated for less than full time employees) to attend or make arrangements for the death of an eligible family member.  

Family means husband, wife, son, daughter, father, mother, stepparents, brother, sister, grandparents, grandchildren, stepchildren, foster parents, foster children, brother-in-law, sister-in-law, daughter-in-law, and son-in-law.  The relation can be in the employee’s family or in the family of their spouse.

Jury Duty
An employee shall be allowed leave with pay for jury or other legal duty when subpoenaed for such service. Any compensation received for such duty may be retained by the employee.

Leave Without Pay

Military Leave


Paid Military Leave is granted to all state employees that have been employed continuously for a period of 90 calendar days or more preceding the leave. 

Shared Leave


Shared Leave is a program that allows employees to receive leave donations from other state employees, if approved, for specific criteria. 

Change in Work Schedule


An employee may request a change in work schedule.  If the department approves a request, documentation is required.
