Annual and Sick Leave Balances

Please share this information with the person in your department who enters annual leave and sick leave cards.

Departments often have questions about annual leave (policy 130) and sick leave (policy 143), and how to handle situations when leave-earning employees run out of leave.

There is authorization from the State Board of Higher Education to allow employees who are out of leave to take it in advance, if approved by the department head and the Director of Human Resources/Payroll.

These policies have been in place for many years, but have not always been well understood by some departments.

It is not appropriate to hold leave cards from one pay period and enter them in at a later pay period when the person may have accrued more leave.  That may be considered an illegal gift.  The supervisor who signs off on the card is the responsible party.

NDSU is fortunate that as an employer, it can offer employees many options for taking other types of leaves, such as Shared Leave (policy 147) and Family Medical Leave (policy 135).  It is very rare that there are no leave policies which apply and and employee is terminated for having run out of leave.

If you have any questions about these policies, please contact Broc Lietz or Brittnee Steckler in the Office of Human Resources/Payroll.
