Overview

Secure File Transfer allows you to send and receive large files quickly and securely. You can create a unique, temporary link for each file you want to send, and then share the link via email.

Secure File Transfer is not a file storage system, as files are removed from the system when the link expires within three days. For more information about file storage options, visit the Collaboration and Storage page.

Secure File Transfer includes:

  • All files are encrypted
  • 98-gigabyte quota for one file or multiple files
  • Drag and drop or browse and upload an individual file or zipped folder to create a new link
  • Set the link to expire in one to five days after you create it
  • Copy the link to share it via email or another communication tool
  • Option to receive a confirmation email when the file is downloaded
  • Option to require the recipient to log in with an NDSU account before downloading the file
  • View existing links at a glance, with options to quickly delete existing links and files
  • Create multiple links for a single file to share a unique link with each recipient, which is particularly helpful when combined with the download receipt option

Getting Started

NDSU staff and faculty have access to Secure File Transfer as a default service. You can log in to Secure File Transfer to send a file via email within the Secure File Transfer system or create a FileLink that can be copied and shared through any communication tool. You can also use the system to send an email request for a file or create a FileDrop link.

Sending Files within Secure File Transfer

This option allows you to send an email with a file to download within the Secure File Transfer application itself.

  1. Go to Secure File Transfer, and log in with your NDSU electronic ID and password
  2. Compose a Message by filling out the To, Subject, and Message sections.
    We recommend that you copy and paste your signature into your message.
  3. Drag and drop your file(s) to the Drop File Here box or click the +Select Files... or +Select Existing Files to navigate to the files you wish to send
  4. Once the file(s) are uploaded, you can set the Download Restrictions on the right side of the page. While you have the option to leave this blank to allow unlimited downloads before the link expires, we recommend setting a Download Restriction for files with sensitive data. Below are the different settings and how each affects the download restrictions:
    Note: The Message Expires After setting defaults to 3 days out with a maximum of 5 days

    1. Option 1: Recipients must be NDSU employees
      Require authentication to access/download: Checked
      Access Restriction drop down: Only Specified Recipients
      Downloads: Set to desired number of downloads per recipient
      Resulting Restrictions: Only specified recipients can log in and download the file(s)
    2. Option 2: Recipients must be NDSU employees
      Require authentication to access/download: Checked
      Access Restriction drop down: Anyone with access to randomized link
      Downloads: Set to desired number of downloads per recipient
      Resulting Restrictions: Any NDSU employee who either receives the email or has the link sent to them from a recipient can download the file(s)
    3. Option 3: Recipients can be NDSU employees or non-NDSU employees
      Require authentication to access/download: Unchecked
      Access Restriction drop down: Anyone with access to randomized link
      Downloads: Set to desired total number of downloads
      Resulting Restrictions: The file(s) will expire after the total number of downloads is reached. If set to 4, once it is downloaded 4 times the file(s) will expire, regardless of who downloaded it.

  5. Click Send
Creating a FileLink

This option allows you to generate a link to a file for download. The link can be copied and shared via email, instant messenger, or any other communication tool. Anyone with access to the link to download the file.

  1. Go to Secure File Transfer and log in with your NDSU electronic ID and password
  2. Click FileLinks from the top menu
  3. Drag and drop your file to the Drop File Here box or click +Select File to navigate to the file
  4. Set the Link Expires date to the desired date, by default the link expires 3 days out, maximum of 5 days
  5. Check the Require Authentication with an NDSU account if sending to an NDSU person and you want them to log in before they can access the file
    Note: If sending to non-NDSU users, do not check the authentication box
  6. Click the Create Link button to generate the download link
  7. Highlight the FileLink URL that is generated
  8. Paste the FileLink URL into a new email message and send to the desired recipients
Send a request for a file

This option allows you to send a file request to an NDSU or non-NDSU user. The user will be able to upload a single file or multiple files. You will be notified once the user has uploaded their file.

  1. Go to Secure File Transfer, and log in with your NDSU electronic ID and password
  2. Click on the Request File button top menu
  3. Compose a message filling out the To, Subject, and Message sections.
    We recommend that you copy and paste your signature into your message.
  4. Check the Send a copy to myself checkbox
  5. Click Request File
  6. Once they have uploaded the file you will receive an email with their message and a link to the file they uploaded.
  7. Click the link and log into the Secure File Transfer site with your NDSU Electronic ID and password
  8. Click the Attached files link to download the file
Filedrop

This option allows you to create a Filedrop URL through which anyone with the URL can upload files. This is a good option if you need to collect files regularly, as you do not need to create a unique File Request each time.

  1. Go to Secure File Transfer, and log in with your NDSU electronic ID and password
  2. Click on Gear icon in the upper right corner of the window and select Account Settings
  3. Click the Filedrop tab
  4. You will have a random Filedrop and permanent Filedrop URL to choose from
    Note: The random Filedrop URL can be reset, once reset the previous URL will be broken and unusable
  5. Copy the desired URL and send the URL via email to the user(s) you will receive files from
  6. Once they have uploaded the file you will receive an email with their message and a link to the file they uploaded.
  7. Click the link and log into the Secure File Transfer site with your NDSU Electronic ID and password
  8. Click the Attached files link to download the file

Frequently Asked Questions

Who may use the service?  

Secure File Transfer is available for NDSU faculty and staff.

How do I delete a file? 

When the link(s) to a file expire or are deleted, the file is removed almost immediately. To manually delete a file:

  1. Go to Secure File Transfer, and log in with your NDSU electronic ID and password
  2. At the top of the page, click FileLink
  3. Click the Existing FileLinks tab
  4. Click Delete for all links to the file you wish to delete
What if I need to extend the time my file is available for download?

You may either create a new link using the getting started instructions, or you may extend the expiration date for a link for up to five days:

  1. Go to Secure File Transfer, and log in with your NDSU electronic ID and password
  2. At the top of the page, click FileLink
  3. Click the Existing FileLinks tab
  4. Click on the Filename's Link
  5. Edit the Link expires date
How can I send a file that exceeds the quota?  

Please contact the IT Help Desk to request a temporary quota increase.

How do I transfer a group of files or a folder?  

Zip the files, or a folder and its contents, into a single file. Then attach or upload the zipped file.

Can I store files using Secure File Transfer?

Secure File Transfer is used to send and receive files; however, it is not a file storage service. Files are automatically removed from the server when the links expire. Please see the Collaboration and Storage page for a list of storage options.
