Office 365 Size Limits
and Retention Periods

Each NDSU email accounts has 50 GB of storage. Faculty, staff and students are responsible for managing their own mailboxes, including retention of email in accordance with the records retention schedule. If your mailbox is nearing the 50 GB storage limit, you will need to delete items from your account. Items in the Deleted Items folder will then need to be purged to reduce the size of your mailbox.

Determine how much Mailbox storage space you are using


  1. Open a Web browser and go to
  2. Log in using your email address and password
  3. In the upper left, click the Office 365 App menu and click Mail
  4. In the upper right, click the gear icon and choose Options
  5. Expand the General option in the left menu
  6. Click My Account
  7. Mailbox usage will be displayed in the My account information, which will tell you how much storage you are using of the 50GB size limit

Recover Deleted Items

Items can only be recovered within 14 days of being purged from the Deleted Items folder.

Outlook 2013/2016
  1. Open Microsoft Outlook
  2. Click on the Deleted Items folder
  3. Click on the Folder ribbon tab
  4. Next, click Recover Deleted Items
  5. Outlook will now display all recoverable items that have been deleted in the past 14 days.
  6. Select the item(s) that you wish to recover 
  7. Make sure Restore Selected Items is selected, and then click Ok (NOTE: If you click Purge, the selected messages will be deleted permanently)
  8. After clicking that button, your messages will appear in your Deleted Items folder
Outlook 2011 for Mac
  1. Open Microsoft Outlook 2011
  2. Click on the Deleted Items folder
  3. Look to see if the deleted email you want to recover is listed in the Deleted Items folder. If it is, then simply drag and drop the email from the Deleted Items folder into a different folder.
  4. If you cannot find the email you want to recover in your Deleted Items folder, you will need to log in to the Office 365 Web Access portal to recover it (see instructions below).
Office 365 Web Access
  1. Open a Web Browser
  2. Log into your account at
  3. Right click on the Deleted Items folder
  4. Choose Recover Deleted Items
  5. Select the message(s) you wish to recover
  6. Click Recover to recover the selected item(s). (NOTE: If you click Purge, the selected messages will be deleted permanently.)
  7. Repeat this process for any other message(s) you wish to recover
