Status As Of: January 6, 2023
Status Summary:

  • Final deliverables are being prepared for the Tuition Incentive Model and Operations Assessment workstream including a training guide, manual, implementation roadmap, and final report.
  • The Deans’ Retreat will take place on January 18th to provide a recap of major milestones and decisions for both workstreams and discuss the path forward for implementation of a new tuition incentive and financial operating model.

Status As Of: December 23, 2022
Status Summary:

  • Project infrastructure and implementation support materials are being drafted and shared with Project Sponsors for feedback. This includes an Operations Future State Recommendation Report, recommended Implementation Timeline, Tuition Incentive Model Manual and Training Guide, among other deliverables.
  • January engagement includes meetings related to both workstreams; the final Tuition Incentive Model and Financial Operations Working Group meetings, the final Steering Committee meeting, and the Deans’ Retreat.

Status As Of: December 16, 2022
Status Summary:

  • The final Design Workshop was held on December 14th and discussions revolved around operating model structure, recommended staffing levels for the Business Operations Center and Transaction Center, funding, and service accountability. There will be a final close out meeting on January 11th to discuss implementation considerations and a proposed roadmap.
  • The sixth of seven Steering Committee meetings was held on December 15th to provide updates on both the Tuition Incentive Model and Operations Assessment. Feedback was provided by the Steering Committee and will be incorporated into future discussions, adjustments to work products, and the January Deans’ Retreat.

Status Summary:

  • The final Design Workshop will occur next week on December 14th which will include discussions of recommended staffing ranges and implementation considerations including funding of the new model and governance structures to support operations.
  • Discussions continue to support customization of the Tuition Incentive Model to align with current NDSU revenue projections and incorporate various model inputs.

Status Summary:

  • The third of four Operations Design Workshops and fifth of six Tuition Incentive Model Working Group meetings were held this week. Discussions of both workstreams involved implementation considerations and customization of design features for NDSU.
  • A Town Hall style meeting will be held on January 19th at Anishinaabe Theater in Memorial Union to share features and updates on both workstreams. The Town Hall is open to all NDSU stakeholders who wish to learn more about the project.

Status As Of: November 18, 2022
Status Summary:

  • Throughout this past week, meetings were held with each college Dean to provide an update on the project through discussion and Q&A. Feedback will be brought back to project leadership for incorporation into the tuition model and operations design.
  • The fifth of seven Steering Committee meetings was held this week on November 17th to discuss and receive feedback on the current approach to a future operating model and tuition incentive model.

Status Summary:

  • In preparation for meeting with college Deans next week, college specific views of the tuition incentive model and discussion topics for the financial operations design were prepared. The meetings with the Deans will take place between November 15th and 17th.
  • The second of four Design Team meeting was held this week. The group provided feedback on initial recommendations for the Travel and Expense and P-Card Purchasing business process. Recommendations for all business processes will continue to be discussed and edited to reflect feedback.

Status Summary:

  • On Friday, October 28th the first of four Design Workshop was held to discuss service delivery models, reporting relationships and examples of operating model options. The second Design Workshop will take place on November 9th and focus on the review of a service delivery catalogue and clarifying roles and responsibilities.
  • Throughout this week, we met with key stakeholders involved with both workstreams including President Cook, Customer Account Services, University Relations and Chief of Staff, Office of the Controller and financial staff from the College of Agriculture.

Status Summary:

  • Presented the results from the Financial Activities Survey at the Financial Activities Town Hall on October 20th in Anishinaabe Theater in Memorial Union to approximately 150 NDSU stakeholders. The presentation materials are available on the engagement website (President – President Councils and Initiatives – Budget and Financial Operations Enhancements).
  • Hosted the third of six Steering Committee meeting on October 20th to review project progress, focusing on the development of the Tuition Incentive Model, including the rules of the model related to allocation of undergraduate and graduate tuition and aid and discussed key takeaways from the business process focus groups and next steps in the design of a future financial operation model.
  • Continued community engagement efforts by delivering a presentation to the Staff Senate Executive Committee on Wednesday, October 19th.

Status Summary:

  • Finalized materials for Financial Activities Town Hall where results from the Financial Activities Survey will be reviewed with survey participants. The town hall will take place on October 20th at 9:30 A.M. in Anishinaabe Theater in Memorial Union.
  • Hosted Operations Assessment Working Group meeting (10/12) to discuss financial activities survey, business process focus groups and next steps in the design of an enhanced operating model.
  • Discussed allocation scenarios with Project Sponsors related to undergraduate, graduate, and differential tuition based on feedback from the Tuition Incentive Model Working Group.

Status Summary:

  • Deans meetings (10/3-10/7) to share updates on the Tuition Incentive Model’s structure and development timeline, review College-specific elements of the financial operations assessment, and confirm understanding of unit financials and activity data

Status Summary:

  • Led the 3rd Steering Committee meeting on Thursday, 9/22, which discussed preliminary operations assessment analysis and funds flow analyses, and the tuition incentive model structure.
  • Published theTuition Incentive Model and Financial Operations Assessment page on the President’s website, allowing for wider dissemination of engagement processes, goals, and community engagement community engagement

Status Summary:

  • Led the Operations Assessment Working Group on 9/14 and discussed preliminary analysis.
  • Business Process Focus Groups will convene for kick-off meetings theweeks of 9/19 and 9/26

Status Summary:

  • The 2nd Tuition Incentive Working Group meeting was held this week to review funds flow and model structure, including an orientation to current and future discussion topics. Feedback was provided to help clarify recommended model structure for the Steering Committee.  
  • The financial activities survey deadline was on Wednesday, September 7th. 90% of participants responded to the survey and Huron has started initial analyses. Additional survey findings will be shared at the next Steering Committee meeting.

Status Summary:

  • The financial activities survey deadline has been extended to Wednesday, September 7th. Huron has engaged in targeted outreach efforts to encourage responses and is nearing a critical mass of responses.

Status Summary:

  • This week’s discussions with project leadership regarding allocable tuition, waivers, scholarships and other financial aid have occurred and will lead to the completion of the funds flow and actuals model.
  • The financial activities survey opened on Monday, August 22nd and will remain open for two weeks, closing on Friday, September 2nd.

Status As Of: August 19, 2022
Status Summary:

  • The project Steering Committee met this week to receive an update on progress, discuss guiding principles and interview themes, learn about upcoming operations analyses and review tuition incentive model decision points.
  • The Office of the President sent communication on Thursday, August 18th announcing the upcoming activities assessments. The distribution list included those who were identified as performing in-scope activities.

Status Summary:

  • Working Group Kick Off meetings were held this week for the Tuition Incentive Model and Operations Assessment workstreams. Working Groups will meet monthly and serve as content experts through the duration of the project.
  • The activity assessment survey is near completion and will be distributed to over 350 NDSU staff beginning next week and close on August 26th.

Status As Of: August 5, 2022
Status Summary:

  • Met with 26 stakeholders across campus to assess current attitudes towards resource allocation, budget operations and business processes; interviews will continue over the next few weeks
  • Started analyses of financial and operations documents included in the project data request
  • Developed questions and associated announcements in preparation for the upcoming financial and communications activities survey

Status As Of: July 29, 2022
Status Summary:

  • Drafted guiding principles and communications materials for the engagement and discussed with project sponsors. The guiding principles were shared with the Steering Committee and feedback will be collected prior to finalization.
  • Sent invitations to participate in the engagement to Working Group members and drafted interview invite communication.
  • Created an operational assessment survey and shared with project sponsors for initial feedback.
