Before Requesting Surplus Property Pickup:
- Remove all NDSU papers, files, decals, labels, and other departmental materials from items.
- Ensure items are in working order whenever possible.
- Remove any inventory stickers from the item(s).
- If an item is not working, clearly label it as "Not Working" or "Broken" so it can be evaluated and disposed of properly.
- Departments should dispose of the following items and should not send them to Surplus Property:
- Photographs
- Personalized awards
- Plaques
- Other personalized recognition items
- Broken or unusable items that can be safely disposed of in a dumpster
Step 1: Submit a Pickup Request
Email Casie Ewalt with the following information:
- Pickup location (building and room number)
- Contact person
- Contact phone number
- Detailed list of items and quantities being sent to Surplus Property
- ITS tracking numbers for applicable technology equipment, including:
- Computers and Laptops
- iPads and Tablets
- Other ITS-managed devices
Step 2: Prepare Items for Pickup
For Fixed Assets ($5,000 / $10,000 and Above)
- Remove the green inventory sticker from the item.
- Complete the lower section of the item’s Fixed Asset Inventory Form.
- Email a copy of the completed form to jacqueline.jandt@ndsu.edu
Laboratory, Shop, or Hazardous Material Equipment
Hazardous Material Preparation Checklist
- All chemicals, samples, reagents, products, research materials, and other contents have been removed from the equipment.
- All hazardous waste, biological materials and waste, radioactive materials and waste, universal waste, sharps, broken glass, and unidentified materials have been removed.
- The equipment has been cleaned, decontaminated, or otherwise prepared as appropriate based on its previous use.
- All liquids, oils, coolants, water, mercury, compressed gases, vacuum pump oil, hydraulic fluids, and other materials have been drained or removed unless otherwise approved by the Safety Office or Surplus Property.
- Loose parts, glassware, tubing, needles, blades, sharps, removable containers, and other fragile components have been removed or secured to ensure safe handling and transport.
- Hazard labels have only been removed after the associated hazard was eliminated or the equipment was properly decontaminated. If hazard labels remain, the Safety Office has been contacted prior to pickup.
- The equipment has been inspected and confirmed to be free of chemical, biological, radiological, asbestos-containing, mercury-containing, and other hazardous contaminants.
NOTE: Repeat Trips for Items Not Properly Prepared for Surplus
If Surplus staff arrive to pick up items that were previously certified as ready for pickup and determine that the items are not properly prepared for surplus, the following will apply:
- Labor Charges: The current Grounds hourly labor rate, per employee, will be charged to the Principal Investigator (PI) or department for any additional return trips required.

Pickup Queue Delay: The surplus request will be moved to the bottom of the pickup queue, which may delay pickup by 4 to 6 weeks.
This policy is intended to help ensure efficient collection and processing of surplus items.
Hazardous Material Certification Statement: Hazardous Material Certification Form
I certify that this equipment has been thoroughly emptied, cleaned, and prepared for Surplus pickup. All chemicals, samples, hazardous substances, biological materials, radioactive materials, waste, sharps, liquids, oils, residues, and any other regulated or potentially hazardous materials have been removed, disposed of, or otherwise managed in accordance with applicable requirements. I understand that Surplus Property reserves the right to refuse pickup of any item that appears unsafe, contaminated, or inadequately prepared for transfer.
Once completed and signed, please submit the form to Casie Ewalt for attachment to the associated FAMIS work order.
iPads and Tablets
- All user accounts have been removed.
- All personal accounts have been signed out and removed.
- All departmental accounts have been signed out and removed.
- All passcodes, PINs, passwords, and security locks have been removed.
- Apple Activation Lock has been removed (Apple devices).
- Android Factory Reset Protection (FRP) or equivalent device lock has been removed (Android devices).
- The device is no longer associated with an Apple ID, Google account, or other user account.
- Device powers on.
- Device is accessible without a password or passcode.
- Device can be accessed by Surplus Property personnel.
- Charging cable and accessories are included (if available).
Note: Departments are responsible for ensuring all security locks, passwords, activation locks, user accounts, and device management controls have been removed from iPads and tablets before Surplus Property pickup. Devices that remain locked may be delayed or returned to the department for corrective action.
