Thundar's Game Room and Esports Lab Scheduling

The NDSU community may now use a self-selection process to request campus meeting spaces or continue to use the same survey form request as in the past. All requests, whether via self-selection or survey submission, are only processed during normal business hours. Non-university organizations and those who prefer to use the room request form should click on the "Outside Organization space request" link below.

Reservation Policies

  • Failure to cancel your reservation or use any reserved area will result in a no-show fee and jeopardize your organization or department's future use of Memorial Union facilities.
  • Payment is due in full prior to the event unless it is an NDSU Department or a pre-approved AR charge.
  • NDSU and Thundar's Game Room or the Esports Lab are not responsible for damages incurred to equipment during the area reservation. Damage fees will be assessed to the group using the Game Room or lab.
  • Cancellations or changes must be made at least 72 hours before the reservation period to receive a 90% refunde.
  • Groups that do not show up for a reservation may be charged for the full cost of the reservation (Up to $50/hour for the total number of hours reserved for the Esports Lab and 100% of the rental fee per lane/table for the Game Room).
  • Thundar's Game Room area reservations are for the sole enjoyment of the group reserving the space. The Center will remain open to the public except when all lanes and tables have been reserved. Closing the area requires special authorization.
  • Food and beverages are not allowed in the Esports Lab.
  • Food and beverages consumed by groups in Thundar's Game Room must be purchased from Memorial Union Dining Services, NDSU Catering, The NDSU Herd Shop, or from Thundar's Game Room.
  • Please note there are an additional 12 computers in the Esports lab that are open only for walk-in players. These are not included in your reservation.

NDSU Community Self-Selection Instructions

  • Right click on the "NDSU Internal Self-selection via Mazevo" button above or below and pick "open link in new window" so you can still see and follow the instructions below.
  • Log into Mazevo via mobile app or on the web (mymazevo.com)
  • Select “Requests”
  • Select “Add New Request”
  • Type your event name. This name will appear on website calendar and if the event is scheduled in the Memorial Union, on TV screens throughout the building.
  • Event Type – Use the drop down to select from the following:
    • Department Academic Use or Internal Meeting – These types of meeting are attended by NDSU community only and no food is served. No Facility Use Agreement is required.
    • Dept Event/Meeting with Food and/or Outside Guests – Due to the nature of this type of meeting, a Facility Use Agreement is required and the necessary questions will be part of the reservation request process.
    • Student Organization Event/Meeting – Any student organization meeting or event at any location on campus.
  • Organization – Use the drop down to select the correct organization from the list of organizations you are affiliated with. If you do not see the correct organization, contact Memorial Union Events at 701-231-8241 or ndsu.eventservices@ndsu.edu
  • Number of People – Input the number of people expected to attend the event. This number will be used to decide what spaces are adequate for your event.
  • Start Time – Select the time your event begins and click on the "set' button
  • End Time – Select the time your event ends and click on the "set' button
  • Click the “Specify Customer Access Time” box if necessary and indicate the number of minutes before start and/or minutes after end time you desire.
  • Select one or more dates for your event. You may use the drop down to indicate events that repeat at regular intervals.
  • Building – Select "Barry Hall" and/or "Memorial Union".
  • Click on “Find Rooms”
    • All available rooms will be listed in alphabetical order.
    • You can switch to the unavailable rooms list to see the reason why certain rooms are unavailable.
  • Click the box next to the room(s) you want to reserve.
  • Click the type of room setup from list of available setups.
  • Click on “Add Notes” next to the room and type any notes you have (not required).
  • Click “Next”
  • Answer the Questions
    • If no FUA is required, there will be only two questions.
    • Questions are based on event type and location.
    • You will be asked event specific questions such as what resources will you need, do you need AV technical assistance, and what is your billing information?
    • If you are serving food at your event, you are required to use NDSU Catering in event spaces.
    • Additional questions will appear based on the answers you provide.
  • Click “Submit”

    Next Steps:

  • Your requested space will be set as “tentative” and will be in request status.
  • You will receive a copy of your request with policy and FUA information.
  • Event staff will review your request.
  • If an FUA was completed as part of your request, NDSU Catering, Police and Safety, and Facilities will review your request.
  • You will receive a follow-up message informing you if your request is approved or denied.
  • You may be asked additional questions or for additional information.
  • Your request may be put on hold until you submit information such as city or noise permits or Certificate of Insurance.
