Submitting a Proposal


NDSU policy requires that all external proposal budgets be reviewed and approved by Sponsored Programs Administration (SPA) prior to submission to any sponsor.

 


Novelution System

The Novelution Research Management System provides a centralized system with integrated software modules that support many research administration aspects. This includes tools for both administrative and research staff and support for processes including grant & contract proposal development from pre-award to post-award management.


NDSU Approval and Submission Process

At least three business days prior to application due date, route the following documents for review and approval. The following documents should be uploaded in to Novelution:

  • Budget in sponsor approved format
  • Budget justification
  • Summary of proposed work

After approval, submission is done by:

  • PI to most external funding sources (including some electronic proposal systems), or
  • SPA to external funding sources that require submission by Authorized Organizational Representative (AOR)

Just-in-Time / Supporting Proposal Information

Sponsors may contact PI’s or Sponsored Programs Administration to request updated proposal information to continue with the proposal review process or a sponsor may need updated information in order to issue an award.  PI’s work with SPA to develop a response to sponsor requests and SPA submits documentation to sponsor agency.  Supporting proposal information may include IRB/IACUC approvals, current and pending support, completion of sponsor specific forms, etc.  The PI should forward all sponsor requests to SPA to work with PI to respond to sponsor request.


Electronic Proposal Submission

Many grant agencies are conducting their business electronically.  Most federal grant proposals are required to be submitted electronically, and subsequent grant business is also completed online.

Faculty and staff are asked to check grant program guidelines closely to determine if electronic proposal submission is required and, if so, contact Sponsored Programs Administration staff as soon as possible to allow time for the necessary administrative preparations. Each proposal submission offers unique challenges which the SPA staff can help resolve, saving you time and effort.
